Remote Executive Assistant to the COO (LATAM)

Role Summary:

We are looking to hire an Executive Assistant to join our growing team. The ideal candidate will serve as the COO’s productivity partner, working together to streamline operations, his ventures, and remain laser-focused on our mission to disrupt our industry. You will be highly perceptive and prepared, able to anticipate the needs of the COO before they are asked. You will become the COO’s trusted advisor who he can depend on to get the job done no matter what. Being a small startup, there will be the opportunity to contribute, wear a variety of hats, and take ownership within your designated areas of responsibility.

On top of his operational duties, the COO is our resident tech guy – he is the one responsible for overseeing integrations between platforms, building reports and dashboards, and making sure that all of the internal tools/platforms are utilized to their maximum extent. He is looking for someone who is tech-savvy, can understand basic technology jargon, and is brave and confident to put oneself out there to explore more tools/platforms that could be utilized in the organizations he supports.

Beyond your experience, we are also looking for someone professional and reliable, someone that can follow through, and hold accountability to the team. The Executive Assistant will be responsible to maintain a comprehensive understanding of the company and its vision in order to effectively and efficiently conduct duties and responsibilities. You will help organize details and ensure that required deliverables are consistently above and beyond.

This role is 100% remote work. You’re expected to work full-time and independently outside of our weekly meetings and communicate with the team through Slack, ClickUp, Airtable, and Facebook. You can have your own schedule but are expected to be working during regular business hours and be evaluated based on your outputs.

Qualifications:

The ideal candidate should have the following hard and soft skills:

  • 7 to 10+ years of experience successfully providing a full range of high-quality administrative support to a C-Suite executive, plus a college degree or an equivalent combination of education and experience
  • Moderate technical experience with tools such as Excel/Sheets, Airtable, Clickup, Slack, Facebook, Zapier, Integromat, LinkedIn, and more
  • A proactive self-starter who is adept at anticipating what needs to be done, takes ownership for assigned areas of responsibility, and does so with minimal supervision
  • The ability to appropriately safeguard sensitive business information and work at the highest level of confidentiality at all times
  • Highly effective verbal and written communication skills along with well-developed interpersonal skills, approachability, and diplomacy
  • Detail-oriented with strong organizational and time management skills and a proven ability to build and manage efficient day-to-day clerical office operations
  • A calm demeanor, a resourceful can-do mindset, and the flexibility to embrace the new and unexpected that are common in a startup environment
  • Understanding of e-Commerce business objectives
  • You have a great personality with a genuine desire to learn and grow

  • Unafraid of holding leadership team accountable
Responsibilities:

Here are some examples of your expected workload & objectives:

  • Act as an all-around gatekeeper and strategically manage the COO’s time with respect to priorities, goals, and objectives
  • Monitor inbox, draft email correspondence, and respond on behalf of COO
  • Assist with miscellaneous special projects or duties as needed
  • Setting virtual and in-person meetings for the COO and attending some of them on his behalf
  • Arrange and organize travel for the COO
  • Work cross-functionally internally and with external vendors to host upcoming personal/business events
  • Be an integral part to help execute on a varying range of projects
  • Help with various administrative and office duties as assigned
  • Prepare expense reports, process invoices, and track payments
  • Prepare, draft, proofread, and execute accurate business correspondence using excellent communication skills
  • Creating, administering, organizing, and maintaining office records, files, databases, and systems while ensuring data is efficiently organized, up-to-date, and appropriately safeguarded

About the Recruitment:

We are looking for a candidate that is ready to start as soon as possible. There are a number of pre-interview documents,  HR Interview, and test tasks that will need to be completed before the final interview with the CEO. If you are chosen for the role, we will provide a contract and expect you to begin within the week. The onboarding will be broken up into 3 periods over 90 days where you will go through training, have your performance tracked, and then be put on our ongoing employment status.
